The photo shoot process: how a shoot works, from first contact to delivery
Many clients hesitate to take the plunge because they do not know what awaits them. Here is the typical photo shoot process, from first contact to file delivery, so you know exactly how a shoot works before committing.
We detail it in five questions: how a project starts, what the quote contains, how the session is prepared, what happens on the day and how retouching and delivery go. To discover our services, go to the photo and video services in Brussels page.

Get in touchHow does the first exchange work for a photo or video project?
It all starts with a call or a message to understand your need, budget and deadlines. This first exchange is free and without obligation. It lets us check that the project is feasible, ask the right questions and direct you to the most suitable solution. This listening time is valuable for the photographer too. It lets them grasp your world, sense the right tone and suggest ideas you had not thought of, such as a delivery format or a complementary series. There is no such thing as a silly question at this stage: the more you ask now, the fewer surprises you will have later, and the more the whole project will feel like a collaboration rather than a leap of faith.
To get the most out of it, prepare a few pieces of information: the intended use of the images, the approximate number of photos, the desired date and your visual references. The more precise your request, the faster and more relevant the answer. If you have specific constraints (times, accessibility, confidentiality), flag them at this stage. They will be built into the proposal and you will avoid last-minute adjustments that complicate organisation.
Have a project in mind? Let's talk: quick reply and tailor-made quote.
Get in touchWhat does a shoot quote contain and why is it so important?
The quote is a clear proposal: what is included, the number of images or the length of the video, the usage rights, the delivery time. It commits both parties and avoids misunderstandings. Take the time to reread it and ask for clarification before confirming. Do not hesitate to ask what happens if the project changes along the way: extra photos, an additional outfit, a longer session. A serious quote provides clear options with their price, so you are never caught unprepared.
To understand what makes up a rate, read our article on the price of a professional photographer. A transparent quote is the first sign of a reliable provider: it lets you compare, budget and know exactly what you will receive. Signing the quote marks the commitment of both parties: the slot is booked, the schedule blocked and preparation can begin. You generally receive a written confirmation with all the useful information.

Request a quoteHow do you prepare your session beforehand?
Preparation is the step that determines the success of the session. It includes choosing the location or studio, outfits, visual references and the schedule. A good exchange on these points lets the photographer anticipate the light, equipment and organisation of the day. This phase is also the chance to share your visual references. A few images you like, even from different worlds, let the photographer understand your tastes much faster than a long written description.
For studio sessions, our guide to preparing your professional photo shoot details the practical tips. A few days before, a last message recaps the times, the address and what to bring, so you arrive calm. Also think about logistics: journey, duration, meals, people present. The sooner these details are settled, the more you will enjoy the session. A short recap sent the day before confirms everything is ready and reassures everyone.

Get in touchWhat actually happens on the day of a photo session?
The team sets up and you are guided throughout the session. You do not need to be comfortable in front of the camera: it is the photographer's role to put you at ease and direct you. The images appear as you go on a screen, which lets you adjust the pose or lighting live. The pace is deliberately relaxed: a few minutes to settle in, a warm-up with test images, then the session proper. The first photos mainly serve to get you used to the camera, and the most successful often come afterwards.
The session alternates shooting and short breaks, with regular advice on posture and expression. If a doubt appears, say so straight away: it is the easiest moment to correct course. At the end of the session, the photographer usually does a quick review with you to check that everything planned was covered. It is also the time to agree the next steps and the selection and delivery deadlines. You leave knowing everything you needed was covered.

See our projectsHow do selection, retouching and delivery work?
You first receive a gallery to choose your favourite images, or to approve the video. The selected files are then finalised: colour, clean-up, retouching, grading. One or two rounds of feedback are generally included to adjust what needs adjusting. The deadline is announced in advance. Take your time to choose your favourite images. Compare them calmly, ask the opinion of someone you trust and note the retouching you want. A considered selection avoids back-and-forth and speeds up finalising the project.
Delivery is made through a secure download link, with high-definition files and versions suited to the web and social networks. Each step is communicated with precise deadlines. You know at every moment where your project stands and what is expected of you. After delivery, keep your files carefully and back them up in several places. If you have a future need, the photographer can also help you adapt these images to other formats or for new media.
